You know something's off.
You just haven't had time to find out what.

Notices stacking up that you haven't opened. A payroll system throwing an alert you don't understand. Money going out every period and the balance still isn't right. You don't need to become an expert in agency portals to fix this. You need someone who already is.

We get into every account, find exactly what's wrong, and fix it, all for a fixed price you see before you pay anything.

No consultation required. No guessing on pricing. No need to diagnose it yourself first.
Tell us where you operate, we take it from there.

PAYROLL ACCOUNT RECONCILIATION

Multi-State Payroll Tax Reconciliation

Unresolved notices. A TPA alert you don't understand. Numbers that don't reconcile across your state and federal accounts. This is built for exactly that. We check every agency account against your payroll system and correct what's wrong, no matter how many states or agencies are involved.

Signs Something's Wrong With Your Payroll Accounts

  • Notices from one or more agencies piling up, unopened or unresolved

  • Your payroll system flagging a Third Party Administrator (TPA) authorization issue you don't fully understand

  • Money going out every period, but the balance never actually clears

  • Filings that went out on your end but don't match what the agency has on record

  • Reports you didn't know you still had to file

  • Setup gaps left behind after switching payroll providers

  • Employees in a state where nothing was ever registered

You don't need to know which one of these is happening, or how far back it goes. That's the part we handle.
You just need to stop losing time to it.

Fixed pricing, by agency

Agency Type
Price
IRS (federal)
$899
Local taxing authority (city, county, school district, township, or similar)
$349
State agency (unemployment or withholding)
$799

Every purchase includes:

  • A full review of the agency portal against your payroll system records, 12 month lookback

  • Resolution of any outstanding notices found on the account

  • Confirmation every required filing is on record

  • Balance verification across the full lookback window

  • A penalty abatement request on anything found, best effort, no guaranteed outcome

  • A system alignment audit: rates, addresses, filing frequency, deposit frequency, and TPA authorization cross-checked between your payroll system and the agency portal, with any mismatch corrected

If it turns out to be bigger than expected

The 12 month lookback is included in your price.

If an agency's account needs a longer window to fully reconcile, you'll get a Change of Service Request showing exactly what we found and exactly what it costs, before anything additional is charged:

  • $119 per additional period beyond the 12 month window

  • Never more than $952 in additional charges per agency, no matter how far back it goes

If one agency in a larger order needs this, it only affects that agency, everything else proceeds as purchased.

Employee level wage reconciliation

The standard check verifies totals against the agency's. This goes further and checks every individual employee's wages and withholding, since some errors, like one employee taxed at the wrong rate or reported to the wrong state, can hide inside totals that otherwise look fine. Covers the same 12 month lookback as the base reconciliation. If an extended lookback is added, the rate becomes $449 per 25 employees for 24 months, or $599 per 25 employees for 36 months.

$299 / 25 employees

Our Process

1

Tell us where you operate

Every state and locality where you have employees, and anything you've noticed, even if you're not sure what it means.

2

We pull the agency records

We get into each agency portal directly and compare it against what your payroll system shows.

3

Review and confirm

You see exactly what we found and what it costs, correct anything that needs it, and check out.

4

We handle authorization

Every agency has its own requirements for us to act on your behalf, we take care of whatever applies.

5

We reconcile it

Notice resolution, filing confirmation, balance verification, system alignment correction and penalty abatement requests.

6

You're kept in the loop

If the scope turns out to be bigger, you see the exact cost before anything more is charged.

If your situation is more specific than "something's off," you may not need the full check:

  • Just switched payroll providers - Payroll Provider Transition Cleanup

What we reconcile

State unemployment tax accounts

State withholding tax accounts

Unfiled and missing reports

Federal payroll tax accounts (941, deposits, EIN matching)

Frequently asked questions

How is this priced?

By agency, not by state. $899 for the IRS, $799 per state agency, $349 per local authority. Only pay for what's actually being checked.

Can I have every state and agency I operate in reconciled in one order?

Yes. Every account you want checked goes into a single order, priced per agency as shown above, handled together on the same timeline.

I have notices I haven't dealt with. Should I use this or Payroll Tax Notices?

One specific notice, nothing else going on: Payroll Tax Notices is faster and cheaper. More than one notice, not sure how many are actually outstanding, or you just know something's off across the account: this is the right one. Any notices already sitting there get resolved as part of the reconciliation, you're not paying twice.

My payroll system says it's not set up as a TPA. What does that mean?

Your payroll provider needs to be authorized as your Third Party Administrator (TPA) with certain agencies to file and communicate on your behalf. When that's missing, filings and notices can stop reaching the right place. We find and fix TPA gaps as part of the system alignment audit.

I'm paying every period but the account still shows a balance due. Can you fix that?

Yes. It's one of the most common issues buried in these accounts, and one of the hardest to catch without getting into the agency portal directly. This is exactly what the service is built to find and correct.

Do I need to know what's wrong before I buy this?

No. You don't diagnose it, categorize it, or figure out how far back it goes. Tell us where you operate and what you've noticed, we take it from there.

What happens once you find an issue in my account?

You see exactly what it is and exactly what it costs to fix before anything is charged. Nothing gets corrected without your sign-off, and if it changes the price, you see that first as a Change of Service Request.

What if my lookback needs to go back further than 12 months?

You see the exact cost before it's charged, capped at $952 additional per agency no matter how far back it goes.

How do you get authorized to act on our behalf?

Depends on the agency. Some require a signed authorization form, others require account access through their portal. We handle whichever applies to your situation as part of getting started.
